Expenses

Tracking expenses alongside your sales gives you a full picture of your business's net profit. Record rent, salaries, utilities, and any other costs your store incurs.

Add an Expense

Record a new expense any time money leaves the business.

  1. 1In the sidebar, click Expenses.
  2. 2Click Add Expense.
  3. 3Enter the amount, select a category, and choose the date the expense was incurred.
  4. 4Optionally add a note to describe the expense in more detail.
  5. 5Click Save. The expense is deducted from your net profit in reports.
Use descriptive notes like "September rent" or "Staff lunch 14 Jul" so you can easily find specific expenses later.

Expense Categories

Categories let you group and filter expenses so you can see where your money is going. Jiaflow Sales comes with default categories, but you can add your own.

  • Rent — monthly or annual building rent.
  • Utilities — electricity, water, internet.
  • Salaries — employee wages and contractor payments.
  • Supplies — bags, receipt rolls, cleaning materials.
  • Transport — delivery or restocking runs.
  • Other — anything that doesn't fit a dedicated category.

To add a custom category, go to Settings → Expense Categories and click Add Category.

Export Expenses

You can export your expense records to a CSV file for accounting software or your own spreadsheets.

  1. 1Go to Expenses.
  2. 2Use the date range filter to select the period you need (e.g. last month).
  3. 3Optionally filter by category to export only a specific type of expense.
  4. 4Click Export CSV. The file will download to your device.
For monthly accounting, set the date range to the first and last day of the month before exporting. This ensures you capture every expense in that period.
